Mind & Motion · London & Dubai · working playbook v1

One database.
Four ways in.
Offers that close.

This is the full growth plan for Mind & Motion and the working brief for the two people running it. Read it top to bottom once; after that, your section is your to-do list.

Every visitor capturedOrganic, ClassPass, Meta and partners all land in one GHL database, tagged by source.

Members, not drop-insThe 14-Day Reset front-end feeds a time-limited membership close.

1 · The model

How the machine fits together

Four traffic engines feed one database inside GoHighLevel. The database is segmented, nurtured, and monetised in planned offer windows. Nothing lives outside this loop.

Organic

M&M's own social following. Same Reset offer, own tracking link, content calendar towards each event.

ClassPass

Biggest current group. Captured in-studio (QR + perk) onto our own list — never via ClassPass data.

Meta

Cold paid traffic to the 14-Day Reset landing page. UGC-led, hook-tested, retargeted.

Partnerships

Hotels, residences, corporates, creators. Two jobs: content/ads collabs and offers to sell to their audience.

GoHighLevel — the one database

Every contact gets: source, studio, market, consent status. No spreadsheets, no side lists.

Potential clients Active clients Old clients

Nurture → Event → Offer window

Two weeks of warm-up, a live event, then a 14-day membership window with a real deadline. Repeat monthly.

2 · The team

Two roles, one machine

Both of you get access to the Mind & Motion sub-account in GHL. Split the work like this — every task in this playbook carries one of these chips.

Systems Systems

Owns the backend. If it's a setting, an integration or an automation, it's yours.

  • GHL sub-account setup: fields, pipelines, tags, users
  • WhatsApp Business API + connection to GHL
  • Email sending domain, warm-up, deliverability
  • All workflows: intake, recovery, nurture, reminders
  • Tracking: source links, promo codes, weekly report

Growth Growth

Owns getting people in. If it's content, ads, partners or the studio floor, it's yours.

  • Meta campaigns: creative plan, shoot, hook testing
  • Organic calendar on M&M's channels
  • ClassPass in-studio capture: QR, perk, front-desk script
  • Partnership outreach and collab offers
  • Event planning + offer-window execution
Shared rules. British English everywhere. Premium tone — warm, direct, no wellness clichés. No fake urgency: no resetting timers, no invented stock counters, no made-up reviews. Every deadline we announce is real.

3 · Backend build

Systems checklist

In build order. Don't start a phase before the one above it is done — the flows are useless without the plumbing.

Phase A — Foundations

Week 1
  • Create the Mind & Motion sub-account in GHL — doneSystems
  • Add both users with the right roles; nobody works from the agency accountSystems
  • Custom fields on Contact: source (organic / classpass / meta / partner), studio, market (london / dubai), whatsapp_consent, offerSystems
  • Pipelines: Intro funnel (lead → paid → class 1 booked → class 1 done → class 2 done → window offer → member) and PartnershipsSystems
  • Tags mirror the three segments: potential / client / old-clientSystems
  • Ask M&M for DNS access or send them the record list (see Phase B + C)Mitchell

Phase B — Email channel

Week 1–2
  • Sending subdomain mail.mind-motion.com — SPF, DKIM, DMARC records at M&M's DNSSystems
  • From: hello@mail.mind-motion.com · Reply-to: their real studio inboxSystems
  • Warm up 2 weeks: small sends to the most engaged contacts first, watch bouncesSystems

Phase C — WhatsApp API

Week 1–2
  • Meta Business portfolio for Mind & Motion (their own, not the agency's)Systems
  • WhatsApp Business Account (WABA) on an M&M number — a number not active on the WhatsApp appSystems
  • Connect the WABA to GHL (native WhatsApp integration on the sub-account)Systems
  • Submit message templates for approval: booking link, class reminder, event invite, window offer, recovery nudgeSystems
  • Test with a UK and a UAE number before wiring any workflow to itSystems
Known traps. A brand-new Business portfolio can get rejected at first — appeal, don't rebuild. Keep the SMS channel separate from WhatsApp in GHL. UAE SMS sender registration is a slow bureaucratic path: for Dubai lean on email + WhatsApp, use SMS only for the UK.

Phase D — Workflows

Week 2–3 · build in this order
  • Lead intake — webhook receives every lead from the landing page and QR forms, creates/updates the contact, sets source + market, drops it in the pipelineSystems
  • Abandoned checkout recovery — started checkout, didn't pay: email + WhatsApp (if consented) at 1 h / 24 h / 72 h. Frame: “your 14 days haven't started yet — the clock only starts at class one”Systems
  • Post-purchase — confirmation + booking link within 1 minute; chase until class 1 is actually booked (this is where intro revenue leaks)Systems
  • Class reminders — 24 h and 2 h before class 1 and class 2, WhatsApp-firstSystems
  • Nurture — segment-based drip between windows: potential (educate + social proof), clients (habit + guest pass), old clients (win-back)Systems
  • Event + window — RSVP flow, event reminders, then the offer-window sequence (section 6)Systems

Phase E — Tracking

Week 2, before ads spend a euro
SourceEntryTagging
OrganicLP link ?src=organic in bio + storiessource=organic
ClassPassQR at front desk → GHL form ?src=classpasssource=classpass + studio
MetaLP ?src=meta + full UTMs per ad setsource=meta + campaign
PartnershipsPartner-specific link or promo codesource=partner + partner name
  • Separate Stripe payment link (or promo code) per source, so purchases map to sources without guessworkSystems
  • Weekly scorecard every Monday: leads, purchases, revenue per source per studio; ClassPass→member conversions; window resultsSystems

4 · The offers

Three offers, one ladder

Everything sold maps to one of these three. Don't invent a fourth without checking with Mitchell.

Front-end · cold traffic

The 14-Day Reset

AED 200 · £35

2 reformer classes + posture & goals check + grip socks + guest pass. Value stack AED 670 / £131. Guarantee: love your first class or it's free.

Sold on the landing page. Meta + organic push this.

Capture · ClassPass visitors

The Studio Perk

Free matcha

In-studio only: scan the QR, join the list (email + WhatsApp opt-in), get the perk. No discount — the goal is the opt-in, not the sale.

They then receive the event invite and window offer like everyone else.

Back-end · offer windows

The Membership Window

3 / 6 / 12 months

Opens after each event, closes hard after 14 days. Escalating perks with commitment (exact tiers from M&M's price list — TBC). Reset price is deducted from month one: “you've already part-paid it”.

Pushed by email, WhatsApp and front-desk + phone calls.

Needs M&M sign-off before launch: the guarantee + refund process, who runs the posture check, grip socks giveaway, guest-pass redemption, the value-stack anchor prices, and the exact membership tiers. Flagged in the landing page code as APPROVAL M&M.

5 · Getting people in

Growth playbook per engine

Meta — creative plan Growth

One shoot day → 15–20 ads

Position the Reset as a mechanism, not a discount. Dubai is full of “3 classes for AED 250” ads — we don't compete on that line. Locations are creative assets: JBR 75th floor and Marina must be recognisable within one second.

The 8 hooks to film (one shoot, hooks recorded separately — 15 hook takes × 3 bodies × 3 CTAs = the whole matrix in editing):

HookAngle
A“If you've been telling yourself for months you need to get back into a routine…”Routine reset
B“Dubai girls — if you've been wanting to try Reformer Pilates, watch this.”Local + direct
C“If the gym is the reason you keep falling out of your routine, try this instead.”Pain / problem
D“You've seen Reformer Pilates everywhere. Here's your excuse to finally try it.”Trend / curiosity
E“Never done Pilates before? Perfect.”Objection
F“This might be the most beautiful place to do Pilates in Dubai.”Location / JBR
G“Your next two weeks could look like this…”Aspirational
H“Want to try Reformer Pilates in Dubai without committing to a membership?”Direct response

Shoot vertical 9:16. B-roll list: creator walking in, exterior identifiers, reception, wide studio reveal, JBR/Marina views, reformer wides, extreme close-ups (straps, springs, grip), instructor corrections, beginner being helped, slow controlled movement, laughing members, post-class moment, empty studio 5–10 s clean. Targeting starts local: Marina, JBR and surroundings — the ad may literally ask “Live in Marina, JBR or nearby?”. Message match: ad promise = LP headline = offer.

Organic Growth

  • 2–3 posts + stories per week on M&M's channels, building to each eventGrowth
  • Same Reset offer, always the ?src=organic link — never the bare LP URLGrowth
  • Reuse shoot-day footage: the UGC bodies double as organic contentGrowth

ClassPass conversion Growth

  • QR stand + card at every front desk → GHL form (email + WhatsApp consent) → matcha perkGrowth
  • Two-line front-desk script; brief every host personally, not by emailGrowth
  • Capture counter per studio in the weekly scorecard — make it a friendly competitionBoth
Hard rule. Never contact ClassPass customers using ClassPass data — that breaches their terms. The only route is our own opt-in, collected in the studio. Once someone is on our list with consent, they're ours to nurture.

Partnerships Growth

  • Target list: hotels & residences around JBR/Marina, corporate wellness (DIFC/Media City offices), complementary studios and creatorsGrowth
  • Two collab shapes: content/ads (creator shoots with us, we whitelist their handle) and offers to sell (partner pushes the Reset or a private group session to their audience, tracked with their own code)Growth
  • Every partner gets a source link/promo code before anything goes liveSystems

6 · The monthly rhythm

Nurture → event → window

This loop is the business model. Everything above exists to feed it.

WeekWhat happensOwner
1–2Capture running everywhere. Warm-up content: “something is coming” — teasers on organic, one email + one WhatsApp to the listBoth
2Event invite out: email → WhatsApp → story push. RSVP via GHL formSystems sends, Growth fills
3The event — open studio / community class per city. Everyone attending hears the window is openingGrowth
3–4Offer window, 14 days: membership tiers with Reset price deducted. Cadence: open email + WhatsApp → value email → social proof → 72 h warning → last-day push → hard closeSystems runs flows, Growth + front desk call warm leads
4Scorecard review, learnings, plan next loopBoth + Mitchell
The deadline is real. When the window closes, it closes. Someone who asks the day after waits for the next one. That's what makes the next window work.

Order of operations: backend first, then ads. The shoot can be planned in parallel, but no paid traffic until checkout, recovery flow and tracking are live end-to-end — a test purchase must land in GHL with the right source, receive its booking link within a minute, and fire the Purchase event to Meta.
